Privacy Policy
Last updated: August 15, 2026. This policy explains what data Tranzok collects, why, and how it is handled.
1. Who We Are
Tranzok is a petroleum supply chain management platform built for Ghana's fuel distribution industry. It is developed and operated by Sediya Labs, a software company registered in Ghana.
Tranzok serves Bulk Distribution Companies (BDCs), Oil Marketing Companies (OMCs), LPG Marketing Companies (LPGMCs), licensed haulers, station operators, and their staff. When we say "you" in this policy, we mean any person or company using the Tranzok platform.
Sediya Labs acts as the data controller for all personal data processed through Tranzok. You can reach us at [email protected].
2. What We Collect
We collect data that falls into the following categories:
Account and company information
When your company registers on Tranzok we collect the company name, company type, registered address, NPA license number, UPPF membership details where applicable, and the names, phone numbers, and email addresses of the people who manage the account.
Identity verification documents
To comply with NPA regulations, we may collect scanned copies of your operating licenses, vehicle roadworthiness certificates, and driver identification documents.
Vehicle and fleet data
For companies operating tankers or bulk road vehicles (BRVs), we store vehicle registration numbers, NPA BRV tracking IDs, capacity details, and assigned driver information.
Order and delivery data
Every fuel order placed through Tranzok generates a record that includes the product type, volume, pickup depot, delivery destination, pricing, assigned hauler or driver, and the timeline of status changes from placement to delivery confirmation.
Location data
Driver-app users share their device location while a delivery is active. This is used to show live tracking to the dispatching company and receiving station. Location sharing stops when the delivery is marked complete. We do not track driver locations outside of active deliveries.
Payment data
Tranzok records payment amounts, Mobile Money transaction references, and invoice statuses. We do not store raw Mobile Money credentials or PIN numbers. Payment processing is handled by licensed third-party providers.
Usage data
We collect standard server logs including IP addresses, browser or app version, pages visited, and timestamps. This helps us diagnose errors and improve the platform.
3. How We Use Your Data
Your data is used to:
- Create and manage your Tranzok account and company profile.
- Process fuel orders, assign deliveries, and generate waybills.
- Enable live delivery tracking for dispatchers, drivers, and receiving stations.
- Generate NPA and UPPF compliance reports on your behalf.
- Process and reconcile payments between companies.
- Send transactional notifications about order status, approvals, and payments via SMS, email, or in-app alerts.
- Investigate disputes or discrepancies in orders and deliveries.
- Improve and maintain the Tranzok platform, including debugging and performance monitoring.
- Comply with our legal obligations under Ghanaian law.
We do not use your data for automated profiling that produces legal or similarly significant effects without your knowledge.
4. Who We Share Data With
We do not sell your personal data. We share data only in the situations described below.
Within your supply chain
When you place or accept a fuel order, the relevant parties (supplier, hauler, receiving station) can see the order details necessary to fulfil it. This is the core function of the platform and cannot be opted out of while using the service.
Service providers
We use third-party services to run the platform. These include Mapbox for mapping and route display, OpenWeatherMap for weather overlays, and Mobile Money payment processors licensed in Ghana. Each provider processes only the data required for their specific function.
Regulatory authorities
As a platform operating in Ghana's regulated petroleum sector, we may be required to share data with the National Petroleum Authority (NPA), the Ghana Revenue Authority (GRA), or other competent authorities. We will always comply with valid legal requests.
Business transfers
If Sediya Labs is acquired, merged, or undergoes a similar transaction, your data may transfer to the new entity. You will be notified if this happens and your data handling changes materially.
5. Data Storage and Security
Tranzok data is stored on servers hosted within secured cloud infrastructure. Data in transit is encrypted using TLS. Data at rest is encrypted at the storage level. Access to production data is restricted to authorised Sediya Labs engineers on a need-to-know basis.
No system is perfectly secure. If we become aware of a breach that affects your personal data, we will notify you promptly and take the steps required under applicable Ghanaian data protection law.
6. Data Retention
We keep your data for as long as your account is active or as long as required by law. Waybill and order records are subject to NPA record-keeping requirements and may be retained for a minimum of five years.
If you close your account, we will delete or anonymise your personal data within 90 days, except where we are legally required to retain it for longer.
7. Your Rights
Under Ghana's Data Protection Act, 2012 (Act 843), you have the right to:
- Know what personal data we hold about you.
- Request a copy of your personal data.
- Correct inaccurate or incomplete data.
- Request deletion of your data where we have no legal basis to retain it.
- Object to processing of your data for marketing purposes.
- Withdraw consent at any time where processing is based on consent.
To exercise any of these rights, email us at [email protected]. We will respond within 30 days. We may need to verify your identity before acting on your request.
8. Cookies
The Tranzok landing page and web platform use cookies and similar technologies. Essential cookies are required for the platform to function and cannot be disabled. Analytics and marketing cookies are optional and can be managed through the cookie preference panel on the landing page.
The Tranzok web apps store session tokens in secure, HTTP-only cookies to keep you logged in. These are cleared when you log out or when your session expires.
9. Changes to This Policy
We may update this policy from time to time. When we make material changes, we will update the date at the top of this page and, where appropriate, notify active users by email or in-app notice. Continued use of Tranzok after changes are posted means you accept the updated policy.
